Note: You do not need to use Schedule Types with Administrators.
Administrators can set up a 2-day calendar under their own Profile, Availability tab.
Administrators schedule can be viewed from the Home Page, Dashboard icon.
NOTE: You would first have followed the instructions under the Create Schedule Types.
At least 1 Schedule Type must be created in your system in order to book Availability for a Practitioner.
There are 2 types of Availability, Standard and Overrides.
1. Standard Availability
The Standard Availability is to show the practitioners availability that they work on a regular weekly basis.
Notice the Effective Date and End Date are chronological. Ensure when you are creating work schedules within a specified date range you add the Effective and End Date correctly.
Here is an example of a practitioner Standard Availability Monday to Friday from 9:00 to 6:00 p.m.
Go to Settings > Practitioners or Administrators > Open and select the "Availability" tab or
click the down arrow beside the Practitioners/Administers name and select the Availability option.
Standard Availability Section - select "Add".
Set the recurring daily/weekly calendar start and end date. If you do not set an end date the calendar you set up will run indefinitely. However, we do suggest you Enter the Start and End date as some of the reports require an end date for calculations.
Select a Schedule Type from below the Schedule Type heading at the top of the page. (These are only required for Practitioners).
Use the mouse to click the time grids to select the days and times, "Apply or Save".
TIP: To select more than 1 grid box at a time, select the start time grid box, hold down the shift key and click the end time. All the boxes between the selection will be selected.
Depending on how you have set up Schedule Types, you will select the Schedule Type for example "Physio Followups" as this may be the most commonly booked appointment type.
If you select the availability grids based on this Schedule Type, when you go to the Schedule and book an appointment for this Practitioner, this will be the defaulted Schedule Type. You can do this to save a bit of time when booking appointments.
Below is an example of the appointment booking popup with the Physio Follow Up Schedule Type pre-selected. You are still able to change the Schedule Type based on the type of appointment if necessary.
Here's an example of other Schedule Types you would also be able to select for that Practitioner based on what is assigned to them.
When you book an appointment and Save, the schedule will reflect the color based on the Schedule Type.
Options for Standard Availability are: Edit, Clone and Delete.
2. Daily Availability Overrides
You are able to override Standard availability 1 day at a time.
Go to Settings > Practitioners and open the Practitioner Profile. Go to the Availability tab or click the down arrow beside the Practitioner name and select "Availability".
In the Daily Availability Overrides Section select the "Add" button to create a new record. he Date of the record.
Enter the Date of the record, Select a Schedule Type and click the time grids to select the time frame the practitioner will be working the Save.
The Daily Availability Override section will show the date. you are able to Edit, Clone and delete a record.
